GDPR Privacy Policy

1. Data Controller:
Hamshack Hotline Verification Department is the data controller for processing personal data in accordance with the GDPR.

2. Purpose of Data Collection:
We collect and process a copy of your valid amateur radio license solely to verify your eligibility for membership into Hamshack Hotline and to allow access to our VoIP systems.

3. Legal Basis for Processing:
The legal basis for processing your license is legitimate interest under Article 6(1)(f) of the GDPR, as verification is necessary to maintain the integrity of our group.

4. Data Use and Retention:

• License data is used solely for eligibility verification and to ensure compliance with membership requirements while the individual remains active in our system.
  
• A copy of your license is retained for as long as you have an issued VoIP extension on our system. Once your extension is terminated and your ticket account is closed, the license copy will be securely deleted from our system within 30 days.
  
• License data is not shared with third parties, except if legally required (e.g., by court order or for law enforcement purposes).
  

5. Data Security: We take appropriate technical and organizational measures to protect your license data from unauthorized access, alteration, or disclosure.

6. Your Rights:
Under the GDPR, you have the right to:

• Access your data. This is accomplished by logging in to your ticket account and reviewing your data there.
  
• Request correction or deletion of your data.
  
  • Deletion of your data requires us to reclaim any extensions you have, and purge your ticket account including all tickets you have submitted.
• Object to processing based on legitimate interests. Note that if you object to submitting your license based on any grounds, we can not then confirm you are duly licensed and can not grant you access to our closed IP phone system.
